The problem
Why this guide exists
Almost every deposit fight comes down to one question: what did the place look like before? If you can't answer with signed paperwork and dated photos, you're guessing, and in many states the burden is on you.
Miss a deposit deadline and some states make you pay two or three times the deposit. Thirty minutes at move-in is the whole difference.
Who it's for
- Landlords with a move-in or move-out coming up
- Owners who've lost a deposit dispute
- Anyone who writes 'good' on the inspection form
Who it's not for
- Anyone looking for state-specific deposit deadlines (the kit tells you to check them)
- Commercial property inspections

Real examples you'll find inside
Same stain, two landlords
Landlord A wrote 'carpet: good,' no photos, deducted $350 for a pet stain and lost in small claims plus a penalty. Landlord B had photo #22, dated and initialed: 'Bedroom 1 carpet, no stains.' Same deduction. The tenant didn't argue.
Prorate the carpet
$2,400 carpet, 8-year life, 6 years old when ruined. 2 of 8 years left = 25%. Fair charge: $600, not $2,400.
Wear and tear or damage?
Faded hallway paint after 4 years: wear and tear. 15 nail holes and 2 anchors after 1 year: likely damage. Dog-chewed door: damage.
Example numbers are illustrations from the guide, not promises.

I'm a landlord who learned the hard way. Every checklist in here exists because something went sideways without it: a deposit I couldn't prove, a renewal I left too late, a notice I almost got wrong. The Navy taught me to run things off a checklist, because a checklist doesn't have a bad day. So I wrote mine down. Straight answers, real examples, no fluff.
