The problem
Every rental, run a different way
Most landlords run every rental differently. New screening rules every time, a lease clause that says "minor repairs" and means nothing, a move-in inspection that says "walls: good." Then the fight shows up and there's no paper to back you.
I learned that the hard way. This is the system I wish I had on day one: nine stages, from the first application to handing back the deposit, each one ending in a checklist you run the same way every time.
Who it's for
- Self-managing landlords with 1 to 50 doors
- New investors buying their first rental
- Owners tired of paying 8–10% to a manager
- House hackers renting out part of their home
Who it's not for
- Anyone looking for a state-specific lease form
- Commercial or short-term rental operators
- Anyone who wants legal advice for a specific case

Real examples you'll find inside
Two applicants, one house
Maria applies first: $4,900/mo verified income, past landlord says he'd rent to her again, one medical collection. Derek earns $7,200 but left owing a past landlord $1,150. Maria meets every written rule, so she gets it. Derek gets a written denial that names the reason. No gut calls.
The drip that wasn't small
Reported through the form Tuesday, plumber Thursday: $140 supply line. The same drip reported by text and forgotten for three months: swollen cabinet, mold behind the dishwasher, soft subfloor. $3,800.
Keep the tenant or chase higher rent?
$1,800 house. Renew at $1,875 and you're up $900 a year. Let them leave for $1,925 and after a month vacant, $1,200 of paint and repairs, and $300 of listing time, you're down $1,925. Keeping the good tenant wins by almost $2,800.
Example numbers are illustrations from the guide, not promises.

Do the math
Why a system beats the alternatives
| Winging it | Property manager | Owner's Advantage | |
|---|---|---|---|
| Cost | Your time + mistakes | 8–10% of rent, every month | $49 one time |
| Example on a $2,000/mo rental | One bad tenant can cost months of rent | $160–$200/mo = ~$2,000+/yr | Pays for itself on the first turnover |
| Written screening criteria | ✗ | Theirs, not yours | ✓ Template included |
| Room-by-room inspection + deposit statement | ✗ | ✓ | ✓ |
| 120-day renewal timeline | ✗ | Sometimes | ✓ |
| You stay in control | ✓ | ✗ | ✓ |
Property manager fees vary by market; 8–10% of monthly rent is a common range. Example math, not a promise.

I'm a landlord who learned the hard way. Every checklist in here exists because something went sideways without it: a deposit I couldn't prove, a renewal I left too late, a notice I almost got wrong. The Navy taught me to run things off a checklist, because a checklist doesn't have a bad day. So I wrote mine down. Straight answers, real examples, no fluff.
